PPQG Steering Committee Meeting

Meeting called to order by Janet Sears, acting President, at 11:05
In attendance: Bette Covington, Linda Warnock, Marilyn Limbaugh,Janet Sears, Paula Osborne, Lynne Atkins, Gail Spencer, Gail Simms, Janet Windsor, Ann Graf, Lola DeLongorio, Laura Hamilton, Joyce Gaudet, Polly Dakin
Minutes were read and ammended to read: GAC is sponsoring PPQG Workshops for ONE YEAR, to be reevaluated in January 2008.
Gail Spencer reminded the Board that there is a three tier price arrangement for the workhops.
Linda Warnock asked that minutes be submitted electronically to the Board. Bette will submit them electronically to Marilyn Limbaugh who will then submit them to the Board.
MSP to approve the minutes as ammended, by Paula and Janet.
Treasurer: Janet said that PPQG did not go into the red this year. We are $1470 ahead, thanks mainly to Festival of the Trees.
Janet spoke about needing a written policy for deciding how to pay for a non-budgeted item. The suggestion was made to perhaps follow GA Policy. More discussion will follow later in the meeting.
Nominations: Paula read the proposed slate of officers for 2007. (See attached memo). MSP to accept the slate: Ann/Joyce
Discussion was held on establishing a policy for outside speakers. Recently, there was a situation where an outside individual took up too much time and it was felt that this was unfair to the membership and the guest speaker. MSP: Only Fiber Arts related topics written or oral, may be presented at PPQG meetings: Polly/Marilyn
Policies and Procedures: Janet wonders where the Policy/Procedure Document is . Linda has a hard copy. A committee was formed to revise and update this document. Members: Lynne, Better, Marilyn, Paula. Janet said that new members should have a copy of their job descriptions.
Reports:
Programs: Gail Simms read the list of programs for 2007 which is listed on the web site. Discussion was held on making quilts for wounded soldiers.
Mystery Quilt: it was agreed that this was a good program
Block of the Month: a new one will be announced at the General Meeting
Newsletter: 58 members want to receive their newsletter on line. This saves money for the Guild.
Special Events: it was agreed that the Retreat was a success.
Festival of the Trees: this required a lot of work by a few people. Ways and Means will decide about future events like this.
Comfort Quilts: Some discussion about whether to sell C>Q> to raise money for the Guild.
Polly said that last year 47 members gave C>Q> 23 members gave more than one. It was felt that others should be encouraged to do this community project.
AIR: on schedule
Hospitality: a sign up sheet will be placed at the cookie table to encourage members to provide cookies.
Membership: We have 105 members. 15 have still not paid . March 1 is the cut off date. MSP Lynn/Laura that a final reminder will go out on email and in the newsletter and at the meeting today.
Historian: Paula is working on the files
Fanny Basket: lots of fabrics are in the basket and very little junk!
Library: Ann reported that there are 3 new books.
